Hide purchase cost from sales staff

Role-based access so the counter can bill without seeing your margins.

Can sales staff bill without seeing purchase cost?

Yes, with role-based access. Sales and inventory staff can bill and move stock while purchase cost and margins stay hidden from their screens.

That matters the day someone else holds the phone — a salesman, a cousin, a second shift. If everyone shares one login, margins leak in week one. A staff member sees what you paid, rounds down to win the deal, or tells a regular "owner ne sasta liya" — all from the same shared screen.

MaterialOS separates roles server-side — not a polite UI hide you can toggle in devtools. The sales login literally does not receive cost fields in the views they are allowed to open.

Role matrix: who sees what

MaterialOS has five roles. Read them like a matrix — rows are jobs at the counter, columns are what the product exposes.

Owner — full access including profit, margins, business settings, staff invites, and every report. Only the owner account holds margin truth and plan billing by design. If margin hide fails, it fails here first; the owner is the control account.

Manager — day-to-day ops across assigned scope: billing oversight, stock movement, customer edits, approvals queue on Growth/Pro. Default: no purchase cost on sales screens. Managers run the shop without carrying the owner's purchase file in pocket.

Sales staff — bill on an assigned shop only. Sees SKU, selling price, stock available, customer credit headroom. Does not see purchase rate, margin percent, or supplier invoices. Cannot open business settings or export full profit reports.

Inventory staff — stock views and adjustment requests on an assigned shop. Moves quantity, raises low-stock signals, does not run open sales checkout. Purchase cost stays hidden unless you deliberately assign a broader role.

Accountant — payments, ledgers, register exports, customer outstanding. Built for handoff to the CA rhythm: collect, allocate FIFO, export period reports. Not an open sales role — they should not need to impersonate the counter to reconcile.

That matrix is the product wedge against one-phone apps. Details and screen-level behaviour live on staff roles and margin hide.

Why one-phone apps fail this job

One-phone billing apps assume the owner holds the phone all day. Hand that phone to staff and they see what you paid, what you earn, and every supplier rate you keyed in last month.

Some apps offer a "staff mode" that is still the same login with a different tab. That is not role separation — it is theatre. MaterialOS enforces roles on the server so a sales session cannot request owner endpoints.

If you are comparing tools, the honest split is freemium solo billing versus a ledger with roles: MaterialOS vs Vyapar. Paid only, no permanent free. Memory/khata-first positioning: you grow into staff controls when someone else bills, not when an upsell banner says "team features."

Family counters are the hidden case. Brother bills, sister collects, owner buys. Without roles, everyone is owner or everyone is blind. The matrix above lets each person do their job without margin gossip.

Accountant role is easy to skip in small shops — until the CA asks for a clean outstanding export. Giving the CA a login with accountant role beats emailing screenshots of the owner app.

Below-margin sales and plan limits

Growth and Pro can require approvals when someone tries to sell below a minimum rate. The counter stays fast; the exception goes to the owner or manager instead of a silent loss on the ledger.

Starter still includes the five roles and margin hide — you do not pay extra to stop sales staff seeing cost. Approvals, expense tracking, and per-customer pricing tiers are Growth/Pro. Multi-shop beyond one location is Growth (up to three shops) or Pro (uncapped).

See MaterialOS pricing: Starter ₹799/mo, Growth ₹1,799/mo, Pro ₹3,499/mo — prices exclude GST (+ 18% GST). No permanent free plan. 30-day Pro trial, no credit card. After trial, data stays readable; new writes pause until you pick a plan.

How margin hide fits udhaar and stock

Margin hide is not only about jealous staff. It is about credit discipline. Sales staff see whether a builder is within credit limit; they do not see whether that builder's last three loads were sold at a loss.

Stock and billing share one ledger. Inventory staff adjust quantity; sales staff sell it; owner sees margin on the same SKU record. See udhaar and credit limits when the counter must stop before overshooting credit.

Fourteen reports remain owner/manager/accountant territory for profit views. The counter stays fast; the owner keeps truth.

Invite flow is owner-only: create the login, pick role, assign shop. No shared password on the wall. When someone leaves, revoke the login — margin and credit history stay on the ledger, not in their pocket app.

Test margin hide before you trust it: log in as sales on the trial, search a SKU you know the purchase rate of, confirm cost never appears. That two-minute check saves a season of leakage.

Inventory staff sometimes ask for cost "to check supplier rate." Route that through owner or manager login — the matrix is only useful if you keep purchase truth on the right row.

Owner login stays scarce: one per business. Managers run shifts; owners keep settings and subscription. That split mirrors how shops actually delegate — cousin runs counter, owner keeps buy price.

Sales staff on MaterialOS vs Vyapar comparisons often ask "can I hide rate?" — yes, by role, not by hiding a column on shared login. That is the difference between billing app and staffed ledger.

Minimum rate approvals on Growth/Pro close the last gap: sales staff might guess sell price from habit, but they cannot silently undercut policy. Owner sees the exception queue; approved sales stay on the ledger with audit trail.

Try it on the 30-day Pro trial: one sales login, one owner login, same SKU — compare screens side by side.

If sales staff see purchase cost on cement and steel, you negotiate against yourself on every bill. Hide the cost. Keep the counter fast.
